What a good dashboard actually does
A dashboard is not a wall of charts. It answers a short list of recurring questions: are we ahead or behind, where is the money going, which clients or products drive the result, and what changed since last month.
We design around those questions first. Then we choose the visual — a table is often better than a chart, and a single well-placed variance column can replace three graphs.
Dashboards we build regularly
Most requests fall into a handful of families:
- Sales and revenue dashboards with monthly, quarterly and year-to-date views
- Cash-flow and budget-versus-actual monitoring
- E-commerce performance: orders, margin, returns, top products
- Marketing reporting consolidated from several exports
- Project and workload dashboards for teams
- Rental or property portfolio overviews
- Personal finance and household budget dashboards
How the file is structured
We keep three layers separated: a raw data tab where you paste or import exports, a calculation layer that cleans and aggregates, and a dashboard tab that only displays. That structure is what makes a report survive month two.
Depending on the tool, we use pivot tables, QUERY or FILTER logic, slicers or dropdown filters, and conditional formatting to highlight variance. In Excel we can use Power Query where it fits; in Google Sheets we lean on native functions so the file stays shareable.
What we need from you
The more representative the sample, the more accurate the build:
- One real export (anonymised if needed) with the columns you receive each period
- The KPIs you report on, and how they are calculated today
- The period granularity you need — weekly, monthly, per project
- Who reads the dashboard, and whether they should be able to filter it
Honest limits
A spreadsheet dashboard is refreshed from the data you feed it. If the underlying export is inconsistent from one month to the next, no dashboard will fix that — we will flag it and propose a stable input format instead. Very large datasets or real-time requirements are usually better served by a proper BI tool, and we will say so.
If updating the dashboard is the painful part, look at spreadsheet automation. If you first need the underlying file rebuilt, start with custom Excel spreadsheets or Google Sheets services.
